Visitor Center Associate - Parking Services - 21632
INTRODUCTION:
Parking Services at the University of Wisconsin-Whitewater seeks a Visitor Center Associate (Administrative Assistant III, AD003).
JOB DUTIES:
The Visitor Center Associate is the main resource for all visitors to the UW-Whitewater and UW-Rock County campuses. This position will work across campus to assist with all related visitor services requests and information including parking, campus resources, and in-person guest assistance. This position is responsible for ensuring a welcoming environment in the Visitor Center for all campus guests through in-person and online communication. The responsibilities include collaboration with all campus groups/departments on events, providing excellent customer service to our campus community, partnering with the Whitewater community to be a hub for local information, and supporting the work of Parking Services. This position will also be responsible for maintaining all website, social media, and email communication for the Visitor Center and Parking Services. This position will serve as a backup to the Parking/Visitor Center Manager and work under their supervision.
The hours for this position are Monday through Friday, between the hours 7:30 a.m. to 4:30 p.m., with occasional weekend requirements. Overtime may be required during high volume timeframes and special events.
QUALIFICATIONS:
Minimum Qualifications:
- An associate's degree with at least one year of experience in administrative support OR a high school diploma with at least two years of experience in administrative support
Preferred Qualifications:
- Customer service orientation, ability to provide helpful and courteous service to various stakeholders
- Strong communication skills, both written and oral
- Ability to take direction and incorporate feedback effectively to support the success of our team
- Technological proficiency, familiarity with Microsoft Office suite, and some experience with reporting software
- Attention to detail, experience managing multiple projects with accuracy and thoroughness
Knowledge, Skills and Abilities:
- Willingness and ability to actively follow applicable safety rules and regulations, including necessary training and drills
- Ability to interact respectfully with people from diverse socioeconomic, cultural, and ethnic backgrounds
RESPONSIBILITIES:
A. Visitor Center
1. Provide excellent customer service to guests who visit the Visitor Center/Parking Services office or make contact via email or over-the-phone. Knowledge about all related guest information especially parking policies/regulations, campus directions, and events.
2. Maintain a welcoming environment by training student employees and Visitor Center staff.
3. Collaboration with campus departments, student orgs, athletics, and community on all guest related campus events. Effective communication with these groups to ensure accurate information and successful campus events/visits.
4. Partner with Whitewater community to be a hub for all local information for visitors.
5. Work closely with Parking Services staff and students to communicate parking policies to guests and backup parking staff on daily customer service interactions.
6. Maintain accurate calendar of upcoming events and compile data related to visitor numbers.
7. Provide a solution-based approach to questions, problems, and disputes.
B. Marketing Duties
1. Update and maintain Visitor Center/Parking social media account with current information.
2. Monitor campus social media platforms to ensure accurate information, and timely responses, to any concerns.
3. Collaborate with campus partners on social media outreach and opportunities.
4. Work with enforcement to educate all new CSO's on visitor/guest policies and procedures.
5. Develop campus emails regarding upcoming events and key dates.
6. Maintain Parking Services and Visitor Center web page.
C. Parking Services
1. Issue correct permits and collect payment for permits and tickets.
2. Resolve conflicts with students, parents, faculty, staff, and visitors regarding citation and permit problems and complaints.
3. Prepare and process permit, citation, and other reports as requested, requiring knowledge of database operations (i.e., AIMS) and utilizing Excel spreadsheets.
4. Backup Parking Associate on opening/closing Visitor Center, reconciling daily reports, and coverage of front desk area.

COMPENSATION AND BENEFITS:
Well-qualified candidates can expect a starting hourly wage of $20/hr.
