UC Room Reservation Requests

All room requests are processed by the following criteria:

  • Attendance appropriate to the facility
  • Preference to student groups in University Center facilities
  • Catered events given priority in dining areas
  • Events having extensive technical needs
  • Campus-wide recurring events that impact students and facilitate student recruitment
  • Historical experience with a group as to changes made in requests, cancellations, no-shows, condition of facility after event, and policy  


One-time meeting requests that are generally standard setups. They are not repeating weekly, bi-weekly, or monthly meetings.

Spring 2025 Request Form

Please note: If using uww.edu/reserve, this is only a request, not a confirmed reservation. You will be contacted via email with a confirmation or by phone if a conflict in space or time arises. If you do not receive a confirmation or contact regarding the request within 1-2 business days, please contact the office at (262) 472-1175,  rooms@uww.edu or visit UC 253.

Requests put in after business hours are treated as the next business day and will not be processed outside of hours.

Series Meetings are meetings held on a regular/ recurring basis at the same time (weekly, bi-weekly, or monthly) throughout the semester in the University Center or various other campus buildings. These requests must be filled out each semester and are not self-renewing for any group.

Generally, requests open in late April for the next Fall semester and mid-November for the next Spring semester. The priority date listed is not a cutoff, but is a highly encouraged due date for a group to get the room they desire.

Spring 2025 Request Form

Special events are one time, large events such as conferences, dances, receptions, banquets, special speakers, and lectures. They are not repeating weekly, bi-weekly, or monthly meetings. These events may be subject to campus policies and appropriate approvals. If you are having advance technical needs, start to plan these needs before meeting with our office to finalize the event.

To submit a Large Event Request please fill out a form for the appropriate semester and submit it to the office (UC 253).

Spring 2025 Request Form

The UW-Whitewater campus hosts single occurrence, private events such as weddings. To inquire about reserving space for a private event, please contact the Reservations Office at rooms@uww.edu or 262-472-1175. Please review the Event Needs webpage and campus policies related to event hosting for additional information regarding hosting an event at UW-Whitewater. 

If any fundraising or sales are to take place at any of these locations a Fundraising Form (you must login with your UW-W information) is required to be filled out ahead of time. This form is not approved through the Reservations Office and the user must have proof of approval before booking of space occurs. Please review our Fundraising Policies beforehand as well.

Mall Space:

The UC offers four mall spaces surrounding the building that can be reserved on a first-come, first-served basis. Only the space is reservable; tables and chairs are not provided.  

  • Any table and chairs needed can be requested through Facilities, Planning, & Management
  • If using green space (please contact our office to define that space), having a dunk tank, or any other large object/displays on the mall space, police approvals will have to be obtained first. Please contact UW-W Police Department at 262-472-4660.
  • If doing anything involving risk of safety including but not limited to: dunk tanks, pie to the face, bike repair, this also will require the contact of Risk Management to obtain a Hold Harmless Form 

Please fill out the Mall Request Form and acquire appropriate approvals prior to requesting space

Tables:

The Reservations office books eight tables across campus for student group use. These tables are subject to fundraising approval, as well as must abide by the Solicitation Policy and the UC Hallway Table Policy. These tables must have someone at them during the entire reserved time. A table and two chairs are provided, but cannot be moved.

UC maps and hall tables

Esker offers two tables in the main lobby area near the dining hall.

Drumlin offers one table in the entrance from the South side of the building.
